As a Contracts Supervisor, you will support the Contracts team in overseeing the full lifecycle of service contracts, ensuring compliance, accuracy, and timely execution. You will be responsible for performing diversified administrative functions, including assisting the sales team, ensuring timely and accurate billing, preparing invoices, maintaining billing records, and managing lease returns. You will manage escalations, optimize processes, and collaborate with cross-functional teams to support strategic initiatives and customer satisfaction. This role does not have direct reports.

+ New Contracts – review/audit in e-automate for timeliness of setup, annual escalation schedules, accruals, and verify the contract matches the lease.
+ Responsible or supervising the billing process.
+ Verify that the pricing of deals and invoicing to customers is completed per Kyocera guidelines.
+ Act as a point of contact with leasing companies on new and closed deals.
+ Manage lease submissions to the leasing company for funding, approvals, and buyouts.
+ Assure that all funding issues have been resolved and that deals are funded in a timely manner.
+ Create, update, and maintain new customer records.
+ Review and maintain meter groups and all devices are set up on KFS.
+ Manage expiring contracts – review and renew prior to expiration. Verify new POs are established.
+ Manage Dealer installations and National Accounts.
+ Ensure all monthly meters are obtained and processed in a timely manner without carryover into the following month. Approve estimated meters.
+ Ensure that all monthly contract revenue is recognized via accrual process.
+ Validate contract invoice generation and distribution.
+ Provide secondary point of contact for customers or internal coworkers for questions or disputes
+ Supervise and mentor team members
+ Develop and implement process improvements to enhance contract accuracy and efficiency
+ Collaborate with Sales, Finance, and IT teams to align contract operations with business goals
+ Ensure compliance with internal controls and external regulations
+ Prepare and present contract performance metrics and forecasts to senior leadership
+ Resolve escalated customer issues and disputes related to contracts or billing
+ Bachelor Degree in Business or Accounting.
+ Minimum 4-6 years of Contract billing experience.
+ Experience leading a team.
+ Familiarity with entry-level accounting.
+ Eye for detail, accuracy is imperative.
+ Ability to work with all levels of management.
+ Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
+ Excellent written and verbal communication skills.
+ Proficient in Microsoft Word and Excel computerized accounting systems.
+ Ability to be an effective team member.
+ Ability to meet deadlines, prioritize tasks and to multi-task in a fast-paced environment
+ Experience with ERP or contract management systems
+ Strong understanding of billing cycles, rate escalations, and contract terms
+ Ability to interpret and apply contract language to billing scenarios
+ Demonstrated success in leading process improvement initiatives
Preferred:
+ E-Automate experience is preferred but not required.
+ Experience supporting contract operations in a corporate or enterprise environment
+ Advanced understanding of contract structures, SLAs, and compliance requirements
+ Proven ability to support teams through change and process optimization
The typical pay range for this role is $63,000 -$88,000. This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography, and other relevant factors.
