Unlike your average IT team that simply administers technology, we are looking to transform our IT department into a strategic partner that provides a real impact by delivering innovative solutions. Kyocera is seeking an IT Office Manager to help manage the daily departmental tasks such as procuring IT components and services, managing IT vendors, invoicing, RFPs, SOWs and payments, developing and documenting departmental standards, processes, and procedures, budgeting and planning, and managing day-to-day departmental operations.

 

This role will be specifically focused on supporting IT management in managing and operating the IT department.  Candidates must have technical experience and be technically savvy. Candidates should have IT and project management experience, have extensive experience with budgeting, purchasing, vendor management, planning, and work cross-functionally to collect data and make actionable recommendations. Candidates must be hands on and able to communicate clearly to ensure technical, project, financial, vendor, contract, payment, and other key areas of information are captured, tracked, and managed effectively.

Responsibilities

IT Operations & Administration

+      Oversee daily IT office operations, ensuring efficiency, compliance, and alignment with organizational goals.

+      Develop and clearly document IT operational policies, procedures, and governance frameworks.

+      Implement and enforce IT policies, procedures, and governance frameworks.

+      Foster a culture of accountability, innovation, and continuous improvement.

+      Support onboarding, training, and development of IT personnel.

 

Vendor & Contract Management

+      Partner with the corporate Procurement department to lead the IT vendor selection process and support contract negotiation.

+      Work across IT and with other departments to manage IT RFPs, SOWs, vendor contracts, vendor compliance, service-level agreements, and vendor payments.

+      Maintain centralized records of vendor contracts, renewals, and financials.

 

Budgeting & Financial Oversight

+      Support the management of departmental budgets, including capital and operational expenditures.

+      Track IT spending, cross charging, cost-savings, cost reduction opportunities, and report on ROI.

+      Collaborate with finance teams to align IT financial planning with business goals.

+      Ensure compliance with regulatory standards (e.g., SOX, NIST, ISO).

 

Cross-Functional Collaboration, Communication & Reporting

+      Act as a liaison between IT and departments such as Legal and Finance.

+      Provide regular reports and presentations to IT leadership on IT KPI’s, performance and initiatives.

+      Support IT leadership with preparation for executive meetings, reporting and strategic planning sessions.

+      Maintain transparency and alignment across all IT and business stakeholders.

+      Maintain content on IT departmental Intranet sites and communication platforms.

 

Possible Opportunities to:

+      Lead small to mid-sized IT projects, ensuring timely delivery and stakeholder alignment.

+      Support cybersecurity initiatives, including awareness training and incident response planning.

+      Participate in business continuity and disaster recovery planning and testing.

+      Assume other duties and responsibilities as assigned.

Qualifications

+      Bachelor’s degree in Information Technology Management, Business Administration, or a related field.

+      7+ years of experience in IT management, vendor management, and project coordination.

+      Proven experience managing budgets, vendors, and cross-functional processes.

+      Excellent organizational, communication, and problem-solving skills.

+      Excellent listening and interpersonal skills with keen attention to detail.

 

Preferred:

+      Experience in large-scale technology environments or enterprise IT departments.

+      Strong understanding of IT infrastructure, enterprise systems, and support processes.

+      Strong process management experience.

+      Proficiency in Microsoft 365, project management tools, document management and workflow tools, and IT asset management platforms.

The typical pay range for this role is $110,000-$166,000. This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography, and other relevant factors.
