The Accounts Payable Coordinator is responsible for verifying invoice approvals, coding invoices, and processing payments through checks and EFTs. They handle the reconciliation of vendor statements and maintain the vendor database, including scanning and storing documents. The role involves managing stale-dated checks and reviewing reports to monitor missing invoices and receipts. Additionally, they reconcile credit card statements and address vendor inquiries promptly. Maintaining confidentiality and ensuring attention to detail are essential aspects of this position.
+ Download invoices from various vendor portals
+ Match invoices to PO and receipt and process in e-automate system
+ Send non-PO invoices to proper department manager for approval
+ Code non-PO invoices to proper GL/Department/Branch
+ Enter all invoices into e-automate system
+ Process weekly check run and EFTs
+ Prepare checks for signature
+ Prepare EFT batches for approval
+ Mail out signed checks and prepare backup for scanning
+ Email EFT remittance information to vendors
+ Encourage vendors to sign up for EFT rather than check remittance
+ Request W-9’s when needed
+ Request Certificates of Insurance when needed
+ Protect organization by handling confidential information in a discreet and professional manner
+ Respond timely to Vendor inquiries
Required:
+ Associate Degree in Business or Accounting.
+ Minimum 2-4 years of Accounts Payable experience.
+ Familiarity with entry-level accounting.
+ Eye for detail, accuracy is imperative.
+ Ability to work with all levels of management.
+ Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
+ Excellent written and verbal communication skills.
+ Proficient in Microsoft Word and Excel computerized accounting systems.
+ Ability to be an effective team member.
+ Ability to meet deadlines, prioritize tasks and to multi-task in a fast-paced environment.
Preferred:
+ E-Automate experience is preferred but not required.
