Responsibilities

Receptionist Duties

  • Appropriate Phone Operations, In/Out bound calls, referring inquires
  • Direct visitors by maintaining employee directories, giving instruction, responding to emails
  • Monitoring logbook: issuing visitor badges, greeting incoming customers
  • Maintaining adequate employee and dealer directories for CS,KM
  • Handle all incoming and outgoing mail

Sales Administrative Duties

 

  • Sales reporting through Oracle , Discovery reports, to field sales force
  • Kgem reports for CS, KM, & direct to NJ HQ’s, monthly
  • Schedule sales demo room, sales and CA service training classes and other conference rooms
  • Reviewing Sales expense report for accuracy, CS, KM, Tech.
  • Assist /maintain Demo room inventory and assest management reporting
  • Supporting Regional open houses, TDS training classes, as required

CA warehouse support/duties

  •  Accounts Payable- check and code incoming bills for the Western Region
  • Assist WR Distribution manager in vendor compliance, maintenance, facility janitors, etc.
  • Managing office supply fulfillment  
  • Assisting WR distribution manager in ISO compliance
  • Additional duties as required
  • Make hotel and airline reservations for VIP visitors
  • Assist CA Regional Technical Manager
  • Assist Dealer Technical Managers with training classes, hotels

Qualifications

QUALIFICATIONS:

  • Associates Degree or 4 or more years of experience
  • 1 year of administrative experience
  • Physical requirements: standing, sitting and working with computer, bending, and light lifting.
  • General computer skills, Excel, oracle, lotus notes, MS word
